Contact Terms
These Contact Terms govern all communications submitted to the EDventure VR project through our website contact forms, email, and demo request channels. By submitting an enquiry, you confirm that you have read and accepted these terms.

1. Who You Are Contacting

When you submit a contact or demo request via the EDventure website, your enquiry is received by the EDventure consortium. Depending on the nature of your enquiry, it will be handled by the most relevant consortium partner:

General & project enquiries: info@edventure-vr.eu
Academic & research partnerships: Łukasiewicz IMN / KU Leuven / TUKE
Platform & technical enquiries: VolareVers (XR Technology Partner)
Commercial & licensing enquiries: VolareVers

All initial enquiries are triaged centrally and routed to the appropriate contact within the consortium.

2. Types of Enquiries We Accept

Our contact channels are intended for:

  • Requests for platform demonstrations (Book a Demo)
  • Institutional and enterprise licensing enquiries
  • Academic partnership and research collaboration proposals
  • Press, media, and communications enquiries
  • Technical support requests from existing users
  • Newsletter subscription and general project information
  • GDPR and data protection rights requests

We do not accept the following through our contact channels:

  • Unsolicited commercial proposals unrelated to the EDventure project
  • Requests for content reproduction or third-party licensing of VR assets
  • Legal proceedings or formal notices — these must be submitted in writing to the project coordinator (Łukasiewicz IMN)

3. Response Times

We aim to respond to all enquiries within the following timeframes:

Response times are indicative and apply during standard working days (Monday to Friday, excluding Polish public holidays). We endeavour to meet these targets but cannot guarantee them during periods of high demand or project milestones.

4. Information You Provide

  1. When you contact us, you may provide personal data including your name, email address, institutional or company affiliation, and the content of your message. This data is processed in accordance with our Privacy Policy.
  2. Please do not include sensitive personal data (such as health information, financial account details, or government identification numbers) in your communications.
  3. You confirm that any information you provide is accurate, complete, and not misleading.
  4. If you are contacting us on behalf of an organisation, you confirm that you are authorised to do so and to bind that organisation where relevant.

5. Consent to Be Contacted

By submitting a contact or demo request form, you provide your explicit consent for the EDventure team to respond to your enquiry via the contact details you have provided.

If you subscribe to our newsletter or request ongoing updates, your consent covers periodic communications about EDventure developments, new modules, and consortium news. You may withdraw this consent at any time by clicking the unsubscribe link in any communication or by writing to info@edventure-vr.eu.

6. Confidentiality of Communications

Communications submitted through our contact forms are treated as non-confidential unless you have entered into a separate confidentiality or non-disclosure agreement with the EDventure consortium.

If you wish to share confidential information (such as proprietary research, business plans, or commercial terms), please indicate this explicitly in your message and wait for our written acknowledgement before proceeding.

7. Appropriate Use of Contact Channels

You agree not to use our contact channels to:

  • Submit false, misleading, or fraudulent information
  • Transmit spam, automated messages, or bulk unsolicited communications
  • Attempt to gain unauthorised access to our systems or data
  • Engage in harassment, abuse, or offensive communication directed at consortium staff
  • Violate any applicable law or regulation

We reserve the right to disregard, block, or report communications that violate these terms.

8. Language

Our primary language of communication is English. We may also respond in Polish, Turkish, or other languages where a consortium team member is able to do so, but English remains the binding language for all formal correspondence.

9. Amendments

These Contact Terms may be updated from time to time. The current version is always available at www.edventurevr.com. Continued use of our contact channels following any update constitutes acceptance of the revised terms.
