1. Introduction

EDventure VR is a European project funded by EIT Raw Materials, developed through a consortium comprising Łukasiewicz Research Network – Institute of Non-Ferrous Metals (IMN), KU Leuven, Technical University of Košice (TUKE), and VolareVers. The project is coordinated by Łukasiewicz IMN with registered offices in Warsaw, Poland.

This Privacy Policy explains how the EDventure consortium processes personal data of website visitors, learners, institutional partners, and other persons who interact with the EDventure VR platform or website.

We process all personal data in full compliance with Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 (General Data Protection Regulation, "GDPR") and applicable national legislation.

3. Purposes and Legal Bases for Processing

The EDventure consortium processes personal data for the following purposes:

3.1 Platform Access and Training Delivery

To provide access to the EDventure VR platform, manage learner accounts, track training progress, and issue completion certificates. Legal basis: Article 6(1)(b) GDPR — performance of a contract or steps taken prior to entering into a contract.

3.2 Institutional and Partnership Communications

To communicate with representatives of universities, research institutions, and industrial partners in connection with the EDventure project. Legal basis: Article 6(1)(f) GDPR — legitimate interest.

3.3 Project Reporting and Compliance

To fulfil reporting obligations to EIT Raw Materials and other funding bodies. Legal basis: Article 6(1)(c) GDPR — compliance with a legal obligation.

3.4 Marketing and Newsletter

To send updates, news, and information about EDventure developments to persons who have subscribed or given explicit consent. Legal basis: Article 6(1)(a) GDPR — consent. You may withdraw consent at any time.

3.5 Website Analytics

To analyse website traffic and improve user experience using analytical cookies. Legal basis: Article 6(1)(a) GDPR — consent. See our Cookies Policy for details.

4. Data We Collect

Depending on how you interact with EDventure, we may collect:

  • Contact information: name, email address, institutional affiliation, job title
  • Platform usage data: login records, training progress, assessment results, completion data
  • Technical data: IP address, browser type, device information, usage logs
  • Communication data: content of enquiries submitted via our contact or demo request forms
  • Newsletter subscription data: email address, role, institutional type

5. Data Recipients

Your personal data may be shared with the following categories of recipients:

  • Consortium partners (IMN, KU Leuven, TUKE, VolareVers) for project coordination and platform delivery
  • EIT Raw Materials and relevant EU bodies for project reporting purposes
  • IT service providers and platform infrastructure suppliers under data processing agreements
  • Public authorities where required by applicable law

We do not sell personal data to third parties. We do not transfer data outside the European Economic Area (EEA) unless appropriate safeguards are in place in accordance with Chapter V of the GDPR.

6. Data Retention

We retain personal data only for as long as necessary for the purposes described above:

  • Platform usage and learner data: for the duration of the project and up to 5 years thereafter, in line with EIT Raw Materials funding requirements
  • Newsletter and marketing data: until consent is withdrawn
  • Contact and enquiry data: up to 3 years from the date of last contact
  • Accounting and financial records: as required by applicable law (generally 5 years)

As a data subject under the GDPR, you have the following rights:

  1. Right of access — to obtain a copy of your personal data held by us
  2. Right to rectification — to have inaccurate data corrected
  3. Right to erasure — to request deletion of your data, subject to legal obligations
  4. Right to restriction of processing
  5. Right to data portability — where the legal basis is consent or contract
  6. Right to object — where the legal basis is legitimate interest
  7. Right to withdraw consent at any time, without affecting the lawfulness of prior processing
